Content Tasks

A content task is a content item adapted to a specific format and modality.

Create a content task


To create a Content Task (crm_content_task), complete the steps below:

  1. Navigate to CRM → Content Management → Content Tasks.
  2. Click New and fill in the fields.
  3. Click Save or Save and exit to apply the changes.

Select the current state of the content task. Available options:

  • Thematic pool – default value.
  • Backlog

  • Published – the content task state automatically changes to this value if all related content packages are in the Published or Canceled state. If there are related packages in other states, the content task cannot be Published.
  • Canceled – the content task state automatically changes to this value if all related content packages are in the Canceled state. If there are related content packages in the Published state, they need to be canceled before the cancelation of the content task through the manual change of the State field value. If the content task is Published, you need to change its state to any other before the cancelation. When a content task is canceled, all related content packages that are not in the Published state become Canceled as well.
ExpediteNSelect the checkbox if the content task should be completed faster.
BlockedNSelect the checkbox if the content task is blocked and work on it is paused.
SubjectYSpecify the subject of the content task. It usually contains a short description of the work that needs to be done. The field is completed automatically with the Name of the selected Content. You can change this value.
Content formatYSpecify the content format. A format is a way of organizing and presenting information. Examples: article, case, interview.
ModalityNThe field is completed automatically. It shows the modality of the selected Content format.
ResponsibleY/NSpecify an employee who is responsible for the content task. The employee creating the record is selected automatically. You can change this value. If the Assignment group field is completed, the current field becomes optional.
Assignment groupNSpecify a group responsible for the work on this content task.
VerifierNSpecify an employee to accept the task when it is completed. By default, the field is filled in with the employee selected as the Subject-matter expert for the related Content. You can change this value.
DescriptionNAdd a full description of the work that needs to be completed over the course of the task.
Content structureNAdd a description of the content task structure. You can use text formatting tools and add images to this field. By default, the value of the same-name field from the selected Content is used here. You can change this value.
Link to document folderNA link to the document folder for the content in the connected SharePoint instance. The field is completed automatically when the Content is specified.
Link to draftNSpecify a link to the draft of the content adapted to the selected format over the course of the task.
Marketing messageNThe marketing message for which the content is created. The field is completed automatically when the Content is specified.
ContentNSpecify the content item for which you create the task. The content item scontains information that needs to be adapted for a specific format and modality over the course of the task.
Service/ProductNThe service or product promoted by the marketing message. The field is completed automatically when the Content is specified.
PainNThe client pain that the marketing message targets. The field is completed automatically when the Content is specified.
Recognition ladder stepNThe step on the ladder of recognition on which the target audience of the marketing message stands. The field is completed automatically when the Content is specified.
DifferentiatorNThe differentiator which the marketing message is related to. The field is completed automatically when the Content is specified.
Communication objectiveNThe marketing message communication objective. The field is completed automatically when the Content is specified.
Recognition ladder transition problemNThe problem of transitioning through the ladder of recognition that the marketing message aims to solve. The field is completed automatically when the Content is specified.

The Activity Feed widget is located on the content task form. It is displayed after the first saving of the record. You can use it to leave Work Notes and Additional Comments.

  • Content Packages – the list of content packages created from this content task record.
  • Publications – the list of publications for the content packages created from this record.

Automatic generation


You can generate the value for the Markdown text field of a content task automatically using the B2B CRM-Ainergy itegration. When the integration is configured, the Generate draft UI action appears on the form of a created content task. Click it to save the record and using AI generate a value for the Markdown text field.

caution

The prompt used by the AI contains a request to rewrite the value of the Markdown text field of the parent Content in the Format specified in the current content task. The prompt uses the Modality of the specified format. To achieve the best results at the generation, you need to fill in those fields in the content task and content item records. Otherwise, the results may not be relevant to the content task.

The generation may take some time, during which you need to keep the tab with the record open. Other users cannot edit the record during the generation. If they open a record during the generation, they see a corresponding message.

At the completion, the Markdown text field is filled in automatically with the generated value. If the field contained another value, it is overwritten. If the result suits you, click Save to apply the changes.

Cancel unpublished content packages


If you need to cancel unpublished content packages related to a content task, use the Cancel unpublished button on the required content task form. In the modal window that opens, click Confirm to complete the action. When you do this:

  • The related content packages that have not been Published become Canceled.
  • If the content task has not been Published, it becomes Canceled.

Content formats

  • Create, delete – crm_admin, admin.
  • Update – crm_admin, admin, crm_manager.
  • Read – any "out-of-the-box" role of the B2B CRM application.

A Content Format (crm_content_format) is a way of organizing and presenting information. It defines the structure and type of the content. For example, it is a written form for the articles, a sequence of frames for the photos, software and interactive elements for the applications, or the continuous data stream for broadcasts. Format examples:

  • Article – a written text on a specific topic, usually factual and analytical.
  • Case – a detailed decription of a real business situation used for education or illustration.
  • Interview – a structured dialog aimed at receiving information from the interviewee.

To create a content format, complete the steps below:

  1. Navigate to CRM → Content Management → Content Formats.
  2. Click New and fill in the fields.
  3. Click Save or Save and exit to apply the changes.

Modality types

Modality Type (crm_modality_type) – a content characteristic that indicates the target channels of perception. Examples:

  • Text – visual modality type that includes written text.
  • Video – audiovisual modality type that combines moving images and sound for conveying information.
  • Audio – audial modality type that includes information transmitted through sound.
  • Photo – visual modality type that includes static images that are perceived visually.
  • Stream – audiovisual modality type that includes live broadcast of video and sound.
  • Application – multimodal media that may include audial, visual, and tactile (through the touch input) modalities providing complex interaction of the user with the content.

Roles required: any "out-of-the-box" B2B CRM role.

To create a modality type, complete the steps below:

  1. Navigate to CRM → Content Management → Modality Types.
  2. Click New and fill in the fields.
  3. Click Save or Save and exit to apply the changes.
