Check an HR form instance

An instance of the Test HR form category filled out by a respondent can be checked and scored according to the settings of the test. You can check an instance using the agent or the portal interface.

Role required: users with access to the agent interface specified as checkers in the HR form launch.

Auto check


If a test consists only of questions with a response format Single select multiple choice or Multi-select multiple choice, the system automatically checks the test according to the rules outlined in the section below.

Auto check rules

For questions of the Single select multiple choice response format, the following applies:

  • The maximum score per question is given for the correct answer.
  • Zero points are given for an incorrect answer.

For questions of the Multi-select multiple choice response format, the following applies:

  • The current score is increased by the number of points that equals the Score per option for a correct answer.
  • The current score is decreased by the number of points that equals the Score per option for an incorrect answer. The total score for a question cannot be below zero.

Consider the following example of a calculation of the total score for a question of the Multi-select multiple choice response format with three options: one correct (C) and two incorrect (I). The weight of the correct option is 1 point.

Manual check


If a test offers questions of the Brief constructed, Constructed, or File upload response format, the answers must be checked and scored manually. Questions of the Single select multiple choice or Multi-select multiple choice response format are automatically checked according to the rules described above.

Check an instance in the agent interface


To check an instance in the agent interface, follow the steps below:

  1. In the agent interface, navigate to Human Resource ManagementForms and SurveysForms and open the required instance record in the Submitted state.

  2. Click Check and go to the Responses related list.

  3. Find records with the No value in the Checked column and check the data in the Response text against that in the Question.Correct answers and options column.

  4. With the inline editing, fill in the Obtained score and Comment columns or complete the following steps:

    1. Open the form of the record to be checked and fill in the Obtained score and Comment fields.
    2. Click Save and exit, alternatively click Save and return to the instance record.
  5. (optional) Repeat steps 3 and 4 for all the records that need checking.

  6. (optional) In the main working area, fill in the General comment field to provide feedback to the respondent about the test results.

  7. Click Send results to open a modal window where you can review the check results.

  8. In the modal window, click Send to confirm sending the results.

When the check is completed, the instance state changes to Checked, the Check duration field is filled in automatically, the Obtained score and Comment fields become read-only. The check results are then sent to the respondent's email.

Check an instance on the portal


To check an instance on the portal, complete the following steps:

  1. On the portal, go to Main PageForms and SurveysTest launches.
  2. Open the required instance record in the Submitted state.
  3. In the Check info widget, click Start. The instance state changes to Check in progress.
  4. In the Results widget, fill in the Score field for questions labelled Check pending. The questions will be then labelled as Checked.
  5. (optional) In the Results widget, click Add comment and leave a comment about the respondent's answer in the text field that appears. To delete the comment, click Clear.
  6. (optional) Repeat steps 4 and 5 for all the questions that need checking.
  7. (optional) In the Check info widget, fill in the General comment field to provide feedback to the respondent about the test results.
  8. In the Check info widget, click Send results to open a modal window where you can review the check results.
  9. In the modal window, click Send to confirm sending the results.

In the Check info widget, the new state of the instance – Completed – is displayed, and the Check duration field is filled in automatically. The Score, Comment, and General comment fields become read-only. The check results are then sent to the respondent's email.
