ITAM Help

note

The ITAM application is under development. The documentation is updated along with new releases.

Coordinate the activity of your organization to realize value from IT assets, or simply 'assets', within the ISO 19770-1 framework with the help of ITAM (IT Asset Management) application. You can monitor and control the efficiency of IT asset utilization and optimize associated financial costs.

With ITAM, you can do asset planning and accounting, and monitor the state of assets of substantial value to the organization's core business. You can also plan and monitor cash flows associated with the assets throughout their life cycle.

All records of registered assets are stored by the system in the logical Asset Management Database (AMDB), a tool for IMACD processes taking place throughout the asset life cycle as part of the asset accounting and monitoring. ITAM implements these processes through the tasks of asset registration, inventorying, relocation, upgrading, maintenance, and decommissioning.

ITAM functionality goes far beyond IMACD processes and also includes budget, needs, procurement, contracts, and finance management.

ITAM application activities are divided into four areas:

  • Accounting allows you to put assets into and out of operation (register them with and out of the system), change their states and attributes, and inventory them along with recording their condition and identifying unused assets. Registration, approval process, and execution of tasks is performed as part of the AMDB.
  • Contracting implies contract accounting that allows the company to update or cancel contracts on a timely basis, avoid fines and unnecessary expenses. You can manage various types of asset-related documents and contracts with suppliers and service companies.
  • Demand management and procurement allows the current ITAM version to create a catalog of nomenclatures, specify the minimum stock level, create CIs for assets registered as part of a nomenclature and add them to relevant model catalogs.

The ITAM application consists of the following sections:

The current documentation version provides detailed ITAM installation and deployment instructions as well as an in-depth operation description covering all application entities:

Application Deployment

This section describes ITAM deployment and downloading demo data. It helps you not only to quickly install the application onto the platform, but also test its functionality with practical examples.

ITAM–ITSM Connector

Once you have the ITSM application installed on your platform, you can configure it to communicate with the ITAM application. This allows you to link asset-related ITSM tickets and service requests with ITAM tasks. Then you are able to grant approvals for ITAM tasks in ITSM.

Role Model

Learn more about the ITAM role model here. Take note of functionality provided by roles depending on the current task state.

Contracts and Documents

This article offers information on generating asset contracts and contract documents, as well as the documentation required for task completion.

Nomenclature

Nomenclature is a fundamental ITAM entity, which allows you to systematize and maintain strict accountability of all types of assets including their useful life. Learn how to work with nomenclature and configure such attributes as Spare parts kit and Consignment.

Asset

Learn what information is stored in each asset record and how to manage it. Changing the stage, state, responsible person, and stock of an asset is possible only by completing corresponding tasks.

Consignment Consumption

This article describes a table that stores all records of active and canceled consignment consumptions that were used as part of individual tasks for each asset. Besides, the information about consignment consumption is displayed on the form of the corresponding task and on the form of an asset with the Consignment checkbox selected.

Stocks

Learn how to create and manage stock records.

Tasks

Study this section to learn how to create and handle asset tasks, for example, inventory, maintenance, decommissioning and others. Most tasks require mandatory approval. Some tasks, for example, asset maintenance, are editable and can go through the approval process as many times as necessary. Besides, you can add approvers and attach relevant documents. You can give approval for some tasks in related ITSM tasks.

Glossary

Asset (IT asset) is any IT equipment used in a company. Both an equipment unit and a spare part can be an ITAM asset. The asset can be considered as a single unit or have the Consignment attribute.

Nomenclature in ITAM is a reference dictionary that contains information about the assets logic (Spare parts kit, Consignment), the connection of the asset with a configuration item, information about the supplier of the assets and has a relation with a supply contract.

Spare parts, tools, and accessories (Spare parts kit) is a nomenclature record attribute used to define an asset as a spare part, tool, or accessory.

Consignment is a nomenclature record attribute used to define an asset as a consignment of asset units. When creating a task dealing with a consignment, specify the quantity of units taken away from the consignment.

Consignment consumption is a record of how many units were consumed from a consignment asset for a specific task. The consignment consumption record also contains information about the current quantity of units in the consignment, associated tasks, and related consignment consumption states.

Life cycle of an asset is the period of time from asset creation to the end of its service life.

Useful life of an asset is the period of time it remains in service generating cost-effective revenue for the organization.

AMDB (Asset Management Database) is a database on the basis of which IMACD processes are performed.

IMACD (Install, Move, Add, Change, Dispose) are processes which assets go through during their life cycle, namely installation, movement, addition, change, and disposal. In the ITAM application, these are registration, relocation, maintenance, upgrading, and disposal processes.
