A tool for the complex planning of changes

A tool for the complex planning of the changes is now available on the Planning tab of the change request form. It allows a user to create and organize the tasks in chains with the description of the work plan for 4 major change phases:

  • Preparation
  • Core activities
  • Validation
  • Rollback

The widget allows the agents, change managers and the participants of the change management process to decompose the change enablement process and visualize the current state of the tasks. For this purpose:

  • Each phase has a counter that shows the number of completed tasks and overall number of tasks in this phase.
  • A badge showing the current state of the work in a phase is added to the right corner of the widget. When all tasks are completed, the badge text changes to Completed.
  • Click the icon to see brief information about the task.
  • Use the context menu to move the tasks between the phases.
  • Use search in the task lists for different phases in the widget.

Use task chains to plan consecutive work on the tasks. The chains are consecutively numerated in the phases. The chais and separate tasks can be moved between the phases. When a chain task is canceled or moved to another phase:

  • The tasks related to it are connected to one another if there are two or more tasks left in the chain. The chain is broken if only one task is left.
  • The tasks that are not included in a chain are added to a separate group called Other tasks of the corresponding phase.

The canceled tasks are added to a separate list of canceled tasks. If a canceled task is moved back to a phase, the task state changes to Draft by default.

The mandatory fields in the widget are the same as before. For example, all widget fields become mandatory, and tasks and task chains become read-only in the Authorization state.

Improvement of change request templates

The templates have been updated for the correct work of the tool for the complex planning of changes. When templates are created from the closed change requests, the related request task templates are created as well. The templates support the creation of the task chains identical to those of the source request. The Previous task and Next task fields are filled in automatically if they were filled in in the original request.
