Asset Disposal

You can dispose all decommissioned assets that do not have the Not found checkbox selected. With SimpleOne you can execute disposal in two ways – internally by means of your company or by means of a disposal services company.

Roles required:

  • To read – itam_agent.
  • To create – itam_operation_specialist, itam_process_manager.
  • To update – itam_operation_specialist, itam_process_manager.
    Only users with the itam_operation_specialist role can be assigned to the task.

Task control


To change the task state, use the buttons on the top right of the form. They appear on the form depending on the current task state and the roles of the user viewing the form.

UI actionDescription
Start workThe button is available only to the user assigned to the task or members of the assigned group. Click the button to start work on the task. Its state changes to In progress, and the name of the current user is added into the Assigned user field, if it was not specified before. The button is available if the task state is Registered or Postponed.
Add assetsClick the button to add the assets you need to dispose. They can only be decommissioned assets with the cleared Not found checkbox. The button is available if the task state is Registered or In progress.
Send for approvalClick to send the task for approval, its state changes to Pending approval. Approval tickets are created for the Responsible for the assets in the task. In this state, all fields, except Priority and Assignment group, are read-only. When the task is approved, you cannot add and remove spare parts or edit other fields of the task form.

Task approval is optional for the disposal task. You can skip this step and complete the task from the In progress state.

Approve in ITSMClick to approve the task within the ITSM application. In the modal window that appears, specify the related service or change request within which the approval must be processed. The button is available under the following conditions:
  1. The ITAM-ITSM connector is installed on the instance.
  2. The assigned user has the itam_agent role.
Add approversClick the button to add more approvers to the task. The button appears in the Pending approval task state. The list of additional approvers is valid for one approving session only. When you need to process an approval more than once, you may need to re-add the additional approvers or you can run the approval session only with the approvers set by default.
CompleteClick the button to complete the task. In the modal window that appears, attach the disposal documents if you did not do that earlier. The button is only available to the assigned user.

You can complete the task from the In progress or Approved state.

Cancel taskFind the button in the burger menu . Click it to cancel the task. The task state changes to Completed with the Canceled closure code. All the assets added to task will be removed and their stage and state restored. The consignment consumptions will be canceled.

Disposal Task form fields

  • Partner company – disposal done by another company.
  • Internal process – disposal done by means of your company employees.

You can select only the company that is either a vendor, manufacturer or service provider.

Service agreementY/NSpecify the contract used with the partner company regarding the asset disposal. The contract must have the Active checkbox selected.

The field is mandatory when the Partner company disposal type is selected.

DescriptionNAdd the task description that will be available for all users.
PriorityNSpecify the task priority.The default value is Moderate. Available options:
  • Low
  • Moderate
  • High
  • Critical
Disposal documentsY/NAdd the disposal documents. You can add only the documents of type Form and subtype Disposal form.
Assigned userYSpecify the user assigned to the task.
Assignment groupNSpecify the group responsible for the task.
Work notesY/NAdd comments to the task.

Related lists

Assets – the list of assets to be disposed within the task. To remove the assets, select them and click Remove the selected assets above the related lists area. To add more assets to the task, click Add assets on the top right of the form.

Approvals – the list contains the approval records created for the task. There you can see the task approvers and the approval states. To add approvers, click Add approvers on the top right of the form. You can add approvers only when the task state is Pending approval.

Create a task

You can dispose the assets with the following attributes:

  • StageDecommissioning.
  • StatePending disposal/transfer.
  1. Create a task using one of the following locations:

    1. Navigate to ITAM → Tasks → Asset Disposal.
    2. On the page that opens, click New.
    3. Fill in the fields of the new task form and Save it.

    1. Navigate to ITAM → AMDB → Assets.
    2. Open the form of the necessary asset.
    3. Click Create task.
    4. In the modal window that opens, select Disposal and click Create task.
  2. Fill in the fields and click Save. The task state changes to Registered.

  3. Click Add assets on the top right of the form, or skip the steps 3-4 if the assets have already been added.

  4. In the modal window that opens, select the necessary assets.

  5. Click Start work. The task state changes to In progress.

  6. Ensure that the Assets related list contains all the necessary items. You can edit the list. To add more assets, click Add assets on the top right of the form. To remove assets from the task, select them in the related list and click Remove the selected assets above the related lists area on the left.

You cannot edit the asset list after you send the task for approval, that is, when the task state changes to Approval. Though, the approval state is optional for the disposal task, and you can complete it from the In progress state.

  1. (optional) Click Send for approval. The task state changes to Pending approval.
  2. (optional) Ensure the Approvers related list contains all the necessary users. To add more approvers, click Add approvers and select the ones you need.
  3. (optional) When all approvers confirm the task, its state changes to Approved.

If the approvers reject the task, its state changes to Registered. You can resume the work by clicking Start work and editing the task form and the asset list. Then, you can submit the task for approval again.

  1. To complete the task, attach the necessary documents to the mandatory Disposal documents field and click Complete. You can also attach the documents in the modal window that appears when completing the task.
