ITAM 1.3.0 – Company Demands Management
ITAM version 1.3.0 is only compatible with the platform version 1.23.3 and later versions.
In this version, we have added the functionality that you can use to manage your company's demands in assets. The new ITAM Demand and ITAM Demand Item tables have customized business logic, roles, and functionality to fulfill company demands in different assets.
You can plan the demand for the required assets, estimate available quantity in stocks, reserve assets for the demand, and, if necessary, initiate the change of stock and asset allocation tasks from the ITAM Demand form. With these features you can monitor the progress of the ITAM Demand operations through the entire cycle from the initial demand registration to its completion.
The demonstration data has been updated to match the new functionality of the ITAM application 1.3.0 and the platform version 1.23.3.
Since the ITAM Demand functionality relates to different tables in the ITAM Application and Simple Application, we recommend reading the documentation for the new ITAM 1.3.0 functionality before you start working with it.
New features
Demand in assets
ITAM Demand is a request for specific assets to support operational and strategic needs of the company. The ITAM Demand record contains information about the demand characteristics and the demand creator. The items requested and their quantities are specified in the ITAM Demand Items. The person responsible for satisfying the ITAM Demand performs its planning, coordination with the approval committee, and its further maintenance.
The ITAM Demand (itam_demand) records are related to the cost center and fiscal period. You can record requirements and add related ITAM Demand Items for the assets that are already in the company stocks and new assets, including those that do not have a nomenclature record in the system.
Functionality
Working with the ITAM Demands records, you can:
- associate a record with a cost center and fiscal period.
- create related ITAM Demand Items.
- create and track related Change of Stock tasks for assets stored in other company stocks.
- create and track the fulfillment of the related Asset Allocation tasks for the assets reserved for the current ITAM Demand.
- complete works on the ITAM Demand regardless of the record state if there are no active related Change of Stock and Asset Allocation tasks.
- cancel the ITAM Demand in the Registered and In Progress states.

ITAM Demand Items
An ITAM Demand Item is a record related to an ITAM Demand that contains information about the requested nomenclature and quantity of assets. In case the required asset was not previously registered in the system, you can select the Non standard model checkbox and add its description. When processing the ITAM Demand Item, you can decide to reserve some assets from the available stocks or plan to purchase them. The state of the ITAM Demand Item depends on the state of the related ITAM Demand record and is updated automatically.
In each ITAM Demand record, you can create the required number of the ITAM Demand Items for the assets of the requested nomenclatures. If the required nomenclature does not exist in the system or the number of the available assets in stocks is not enough, you can schedule the purchase of the appropriate quantity.
In the ITAM version 1.3.0, the purchase planning functionality is limited and disabled by default. To specify the number of assets to purchase, activate the fields To purchase, Purchase balance, and the UI action All to purchase on the ITAM Demand Item form. To do so, set the itam.demand.purchasing.disabled property to false.
Functionality
When working with the ITAM Demand Item records, you can:
- specify the requested nomenclature or non standard model with a text description.
- analyze the number of available assets in the company stocks.
- use the Reserve widget to reserve assets in different stocks or schedule a purchase.
- track the arrival of assets to the selected stock.
- cancel ITAM Demand Items in the Registered and In Progress states.
Asset counters
The form also contains asset counter fields:
- In stock – displays how many assets of all assets reserved for the ITAM Demand are currently in the selected stock.
- Allocated – displays how many assets reserved for the demand have been allocated to the caller. The counter is displayed if Equipment is selected in the Reason field.
Asset reservation widget
The Reservation widget displays a list of company stocks and the number of assets of the selected nomenclature in each of them. You can specify the number of assets in the selected stocks to be reserved. They will be displayed in the related list of the related ITAM Demand record.

Improvements
Assets
On the asset form, a new field Demand item references the ITAM Demand Item record that the asset is reserved for.
When an asset is reserved, its record enters the Reserved for demand state. A corresponding message that contains the related ITAM Demand Item number appears in the activity feed on the asset form.
When the assets are allocated to the caller, or if their reservation has been canceled, they are removed from the related ITAM Demand record list and become available for allocation.
The Product/Part Number field has been renamed to Part Number.

For user convenience, we have updated the asset naming approach.
When updating ITAM from version 1.2.5 to 1.3.0, run the scheduled script to update the names of assets already existing on the instance. Be sure to follow the update deployment instructions.
Nomenclature
The Mandatory approval checkbox has been renamed to Demand item approval. If the checkbox is selected, approval becomes mandatory for all ITAM Demand Items that specify the assets of this nomenclature. Read more in the nomenclature article.
Registration task
Now you can cancel the registration task before any assets have been added. The Cancel task button is located in the and is available until the new asset file is uploaded in the registration widget.
The registration tasks now have closure codes: Assets Registered and Canceled.
When updating ITAM from version 1.2.5 to 1.3.0, run the scheduled script to add the closure codes to the completed tasks, created on the instance. Be sure to follow the update deployment instructions.
Demonstration data
We have added new entity records to the ITAM demonstration data, expanded the list of users and added roles that allow them to work with the ITAM Demands. We have also added two new companies, their assets and related document records. Read a full description of the demonstration data in the updated ITAM Demo Data article.

In this version, we have updated the documentation structure for better user experience.
